01 Overview

When the website shows twelve units and Tally shows two, a customer is let down and staff lose an afternoon untangling it. Most of the work in an ERP integration is deciding in advance which system wins a disagreement, and what happens while one side is offline. We build a sync service that uses an outbox pattern so no record is lost during downtime, a field mapping your operations team can read, and an audit log recording each change, its direction and its time.

02 Deliverables

7 items

What you receive at handover

  1. D01 Sync service linking your ERP and web application, one-way or two-way as scoped
  2. D02 Field mapping documented in a sheet your operations team can follow
  3. D03 Conflict resolution rules agreed for each entity and enforced in code
  4. D04 Outbox and retry handling that keeps records safe when either system is down
  5. D05 Audit log of every synced record with direction, timestamp and outcome
  6. D06 Alerts on sync failures and on records held in retry
  7. D07 Scheduled reconciliation report comparing the two systems

03 Outcomes

What should be true once it ships

  • Every field has a single agreed source of truth, enforced by the service
  • An outage on either side delays synchronisation instead of losing records
  • Disagreements about what changed are settled from the audit log

04 Process

How the 4 stages run

  1. Map We agree the entities, the fields and the authoritative system for each
  2. Design Conflict rules, sync frequency and failure behaviour are written down
  3. Build The service is developed and run in shadow mode against real data
  4. Cut over Sync is switched on entity by entity, lowest risk first

05 Fit & inputs

A good fit for

  • Retailers whose online stock rarely matches the warehouse
  • Businesses entering the same order into two systems
  • Finance teams reconciling ERP and website sales by hand

What we need from you

  • API or database access to the ERP, plus a sandbox instance if one is available
  • A person who knows the ERP well enough to answer field-level questions
  • Decisions on which system is authoritative for each type of data

These inputs are collected through the technical brief in your dashboard after payment. The duration is counted from when they arrive.

Questions about this engagement

Tally, Zoho Books, SAP Business One, Odoo and Microsoft Dynamics. Others are possible where an API is available.

Yes, through file exports or a database view. It is slower, and we set out the trade-offs before you order.

Orders sync in near real time and master data on a schedule. The frequency is agreed for each entity during mapping.

This is technology work delivered digitally — nothing is shipped. Work is delivered into systems you control within the duration stated above, and the delivery and refund policies set out what happens if a date is missed.
